Conventions and Standards

Accounting Conventions
The Accmatrix Accounting programs adhere to standard accounting principles.
Transactions are entered once in the books of prime entry. All the accounting ledgers are automatically updated.
Debits are entered as a plus. Credits are entered as a minus (-), except in the Suppliers Ledger.

The program is multi-user and runs on a secure cloud database.

The program files are Read-only excel templates. All data is stored in a secure cloud database.

Date conventions
The dates are entered in the format “dd-Mmm-YYYY.” For the first day of 2023, type the date in the format “1-Jan-2023.”

Decimals
Decimals in numbers are a full stop.

Region Settings
The best Region settings are – English(United States) or English(United Kingdom). See install programs to set up Region settings.

Entering Transactions
All transactions are entered on the screen or a user form.
If the text on the form is in blue. Transactions are entered on the screen. For example – Purchase Orders. GRVs, Invoices, Petty Cash, Bank, and Journals
If the text is in black. Double-click to enter your information on a grey form. For example – Code lists.

Special Keyboard conventions
Press <Ctrl><Shift><Y> to show the Excel formula bar and Row and Column Headers (This option can be removed for users. See User security.)

Press <Ctrl><Shift><M> to remove the Excel formula bar and Row and Column Headers.

Press <Ctrl><Shift><E> To export any working sheet to a new Excel file.

Accounting Period numbers
The accounting year is divided into 12 monthly periods. Click on <Procedures> <Period Dates>
Pr = 1. Period 1 is the first month.
Pr = 2. Period 2 is the second month.
Pr = 3. Period 3 is the third month.
.
.
Pr = 12. Period 12 is the last period of the accounting year (Transactions can be entered into period 13.)

At the end of the accounting year, the database is rolled over for the new year. The periods are rolled back by 12 and the prior year is saved in a history database.
